Exhibit Hall

When can I set up my booth?
Setup is Monday, June 10 between 9am and 1pm.
 
Can I ship my booth or materials before conference begins?
Certainly, shipping and ordering info will be distributed 2 months prior to conference.
 
When can I begin to dismantle my booth?
Tentatively, exhibitors may strike their booths on Tuesday, June 11 between 2:30 - 4:30pm.
 
Can I dismantle my booth early?
This is expressly prohibited, and you will be billed a $200 fee for early dismantling.
 
Is there WIFI in the exhibit Hall?
Yes. There is complimentary WIFI throughout the hotel.

Guests

Am I allowed to bring guests to conference?
Yes, Guests 21 and over may attend Casino Night only for $60. Guests wishing to attend the entire conference must register in full.

Hotel 

Do I need a code to register for the room block?
Yes, you need to let them know you are with VAHU.
 
I would like to come in early for the event. Can I get the same room rate?
The Sheraton will make every attempt to honor our room block rate starting on the Friday before conference through Wednesday, the day after conference.  Please contact the hotel if you wish to make reservations outside of June 10-11.

Registration

What is included in the Conference Only Registration Package?
Conference Only includes everything on the Agenda with the exception of Topgolf and the cruise on the Spirit of Norfolk.
 
I am an Exhibitor. Do I need to register?
If you made your exhibitor purchase via our registration system, then you should’ve added your 2 attendees names to the registration.  If you didn’t add the attendee names at the time of registration, please email your attendee names to VirginiaAHU@gmail.com. Please send their first and last name and email address.
 
I am a Sponsor. Do I need to register?
No, you do not need to register through the website, but we do need all your attendee information to be emailed to VirginiaAHU@gmail.com no later than May 6.  Please send their first and last name and email address.
 
Is there walk-in registration?
We can accommodate walk-ins for the Conference only on Monday, June 10.  There is special pricing for walk-ins.
 
Can I pay my registration with a check?
Yes please register through this online system, then simply click Bypass Payment when you get to the payment screen. All checks must be postmarked by May 28, 2018. After May 28, you must pay by credit card.
 
Can I cancel my registration?
Full refunds will only be given if we receive notification via email by May 28. Please email VirginiaAHU@gmail.com. No refunds will be allowed after May 7.

By May 6. Please email them to VirginiaAHU@gmail.com. Please include first and last name and email address.

When is payment due?
Within 30 days of your signed agreement
 
When do I select my booth location?
Booth locations are determined based on your sponsorship level, as well as the order in which your sponsorship was received.  Please email your top 3 booth location choices to VirginiaAHU@gmail.com.
